This explains what the MMRC 26 website collects, why, and what we do with it. It covers mmrchtu.tech and the competition run by the IEEE Robotics and Automation Society, HTU Student Chapter.

What we collect

When you register a team. Team name; the email address of the person registering; and for each member their first and last name, email address, WhatsApp number, university, major, IEEE membership status and membership number. We also keep what you write about your technical experience and your motivation for entering, the membership tier you selected, and the fact and time of your accepting these policies.

When you pay. The CliQ transaction reference you report, the amount you say you transferred, and the screenshot you upload as proof.

When you ask a question. The question, and your email address if you give one so we can reply.

When you join a mailing list. Your email address and, if you give it, your name.

When you play the game. The name you enter on the leaderboard and your score. Use a nickname if you would rather not be identifiable — nothing checks it.

Automatically. Standard server and hosting logs, including IP addresses, kept briefly to keep the site running and to rate-limit abuse of the registration and payment forms.

In your own browser. While you are part-way through registering, what you have typed is saved in your browser's local storage, on your device, so that leaving the page to make your bank transfer does not lose it. None of it reaches us until you submit your payment, and it is erased from your browser as soon as your registration is recorded. Clearing your site data removes it at any time.

We do not use advertising trackers, and we do not sell anything to anybody.

Why we collect it

To run the competition: contacting teams, checking eligibility, seating the brackets, and reaching a team quickly on the day.
To take and verify the registration fee, and to match payments against the chapter's bank statement.
To answer questions you send us.
To email registered teams about MMRC — schedule changes, rule amendments, and results.
To keep the site available and resistant to abuse.

Who else sees it

We use a small number of service providers, and only these:

Vercel — hosts the website and stores uploaded files, including payment screenshots.
Supabase — hosts the database where registrations are stored.
Resend — sends our email.

Each of them processes this data on our instructions in order to provide their service. Beyond them, we share personal data only where we are legally required to, and with IEEE bodies where it is necessary to verify a membership claim.

Some of these providers operate outside Jordan, so your data may be stored or processed abroad.

Payment screenshots

A screenshot of a banking confirmation usually shows more than the transaction — account numbers, balances, other transfers. Crop it to just the confirmation if you can.

We store these files privately, use them only to verify your payment, and delete them once the competition has concluded and all payments are reconciled.

What is public

The competition gallery, published results, and the game leaderboard are public. Everything you submit through the registration form is not — it is visible only to the organizing committee.

How long we keep it

Registration records and payment records: for the competition and one year afterwards, for accounting and for inviting past entrants to the next edition.
Payment screenshots: deleted once the competition concludes and payments are reconciled.
Mailing list entries: until you ask to be removed.
Questions sent through the FAQ form: until answered and for a reasonable period afterwards.
Server logs: a short period, as our hosting providers retain them.

Your choices

Write to us and you can ask to see what we hold about you, correct anything wrong, have your data deleted, or be removed from a mailing list. Withdrawing consent for us to hold your registration means withdrawing your team from the competition, since we cannot run an entry we hold no record of.

Children

MMRC 26 is for university students. We do not knowingly collect data from children. If you believe we have, tell us and we will delete it.

Changes

We may update this policy. If we change it materially, we will email registered teams. The date at the top always reflects the current version.
